event image policy

This policy explains how images (photos and videos of participants, volunteers, staff, and visitors may be captured, used, and stored during events organised by The Jewish Square Mile  (JSQ). Its aim is to protect personal privacy while allowing JSQ to share event activities responsibly.

Scope 


This applies to all JSQ events, whether in person, virtual or hybrid. It covers all photographs, video recordings and live streaming captured by JSQ staff, volunteers, contractors, or photographers

Types of Image Use 


Promotional materials 

JSQ website, social media, newsletters and emails

for event reporting, fundraising and educational purposes

Press and media releases

Consent 

Event attendees, participants and volunteers will be informed in advance or as they enter an event  if photography or filming will take place. 

For minors or vulnerable individuals, consent must be obtained from a parent or guardian 

Individuals have the right to opt out from being photographed or filmed at any time 

Identification and Notification

Signage at JSQ events will make clear that photography and video recording may take place. In the case of guided walks attendees will be warned in advance and can opt out from being photographed or filmed at any time. 

JSQ volunteers and staff capturing images will wear identifying badges, lanyards or make themselves known as part of the JSQ team before taking photos. 

Where practical, participants at events can be given alternative seating or positions if they do not wish to appear in images. 

Storage and Security 

Images are stored securely 

Access is limited to JSQ team and those authorised by JSQ. 

Use by Third Parties

Any external photographer, videographer or media partner must comply with this policy.

JSQ will not provide images to third parties for unrelated commercial purposes without consent.

Rights of Individuals 

Individuals can request access to images that include them.

Requests for removal from marketing or social media should be submitted to info@thejewishsquaremile.org

JSQ will make reasonable efforts to comply promptly.

This policy is reviewed regularily to ensue compliance with data protection legislation (UK GDPR) and best practices
